Job Description: Program Administrator

Kentucky Science & Technology Corporation (KSTC) (www.kstc.com) is a Lexington-based independent and innovative non-profit and leader in developing and managing creative initiatives in education, entrepreneurship, and economic competitiveness.

 

Location: The position will be based in Lexington, KY

Position Overview: Program Administrator to achieve multiple activities for two KSTC programs; the Kentucky Procurement Technical Assistance Center (KYPTAC) and Kentucky Science and Engineering Foundation (KSEF). The position will provide support in administrative, outreach, and financial and accounting matters. Additional duties and responsibilities include providing administrative support to ensure efficient operation of the office and supports the team through a variety of tasks. The ideal candidate will ensure duties are accurately delivered with high quality and in a timely manner. This position reports to the Deputy Director of the KYPTAC.

 

Responsibilities and Duties: Client Database Management and Program Reporting – 

  • Maintain cloud-based data warehousing system, CRM system & other client records.

  • Track expenses and create reports to assist the program manager and finance team with budget execution.

  • Prepare, track, and process regularly planned reports on a quarterly and yearly basis.

  • Assist with quarterly surveys: creating, distributing, and reporting.

 

Web Maintenance and Social Media –

  • Execute and maintain all marketing strategies on social media platforms and website.

  • Manage all outreach activities and communication efforts including bid notices, event notices, webinars announcements, and more.

  • Assist with monthly newsletter execution and coordinate delivery with vendors.

  • Proofreading and editing as needed.

 

Event Scheduling and Logistics – 

  • Assist with event planning, research, and book event venues, assist with event set up and execution, as needed.

  • Participate in select client meetings, team meetings, and phone calls.

  • Assist with weekly webinar scheduling, setup, and execution

 

Basic Administration and Organizational Tasks – 

  • Provide general support to the team, visitors and clients as needed.

  • Provide technical/office support as needed.

  • Maintain & replenish supplies and collateral items.

  • Process all team’s purchases and travel reimbursement in line with department codes

 

Skills & Experience to Succeed – 

  • Desired: Bachelor’s Degree or 3-5 years of equivalent experience

  • Must be proficient with MS office especially MS Excel (beyond basic proficiency).

  • Must have excellent analytical and organizational skills

  • Must have excellent data management skills

  • Must have excellent written & spoken English skills

  • Must have a professional, cooperative and friendly demeanor

  • Must be a self-starter and able to adjust to changing priorities

  • Must be able to travel occasionally to coordinate and support events within KY.

  • Must be a US citizen or Permanent Resident.
